Senior Executive Support Specialist

Position overview

Info Gain Consulting (IGC) is seeking a Senior Executive Support Specialist to provide full-time, on-site executive support, document control, meeting coordination, and collaboration support for an advisory engagement serving a federal law-enforcement and intelligence customer. You will maintain reliable action and tasker tracking, prepare and quality-check correspondence and briefing materials, record meetings and decisions, route documents, and keep authorized SharePoint and Microsoft 365 content current.
This executive-support role is a central point of coordination and quality control for the program office, handling sensitive information with discretion. Government approvals, access permissions, records-disposition decisions, and management determinations remain with authorized officials.

Key responsibilities

  • Provide day-to-day executive and administrative support to program leadership within authorized scope.
  • Maintain consolidated tasker, action-item, decision, and due-date logs with clear owners, status, and closure evidence.
  • Prepare meeting agendas, read-aheads, presentation materials, logistics, and briefing books for reviews and leadership forums.
  • Capture accurate meeting minutes, decisions, action items, owners, and due dates and distribute approved records promptly.
  • Draft and format memoranda, correspondence, briefings, talking points, and executive summaries using approved templates.
  • Perform initial quality-control review of products for completeness, grammar, consistency, and routing requirements.
  • Route documents for review, approval, acceptance, and signature and maintain status and evidence of disposition.
  • Maintain authorized SharePoint and Teams sites, document libraries, lists, and calendars without altering permissions unless directed.
  • Compile functional inputs and assemble recurring deliverable packages for leadership review, maintaining version control.
  • Support onboarding and access-readiness tracking and develop professional PowerPoint presentations and briefing visuals.

Required qualifications

  • High school diploma plus at least 6 years of administrative, executive-support, program-coordination, or document-control experience; an associate degree plus 4 years, or a bachelor’s degree plus 2 years, may satisfy the education and experience combination.
  • At least 3 years supporting senior leaders, program offices, regulated operations, or complex professional-services teams.
  • Advanced proficiency with Microsoft Word, PowerPoint, Outlook, and Teams and working proficiency with Excel and SharePoint.
  • Demonstrated experience preparing agendas and minutes, tracking taskers, routing documents, and assembling briefing or deliverable packages.
  • Strong grammar, proofreading, formatting, version-control, and records-organization skills.
  • Demonstrated discretion handling sensitive, confidential, controlled, or time-critical information.
  • Ability to manage multiple deadlines, stakeholders, and competing priorities in an on-site environment.

Preferred qualifications

  • Experience supporting DHS, CBP, law enforcement, intelligence, defense, or another secure federal environment.
  • Experience maintaining SharePoint document libraries, lists, metadata, controlled templates, or collaboration sites.
  • Experience supporting formal Government deliverable review, comment resolution, or audit-ready records.
  • Familiarity with background-investigation, PIV, Rules of Behavior, training, and access-readiness tracking.
  • Familiarity with Section 508-accessible Word and PowerPoint formatting and proper handling markings.

Work arrangement

This position reports to the Deputy Program Manager. On-site performance depends on completion of applicable Government suitability, credentialing, workstation, facility, and access requirements. Work arrangements remain subject to Government direction and final contract requirements.

Security and access requirements

This position requires successful completion of applicable background investigation, suitability, fingerprinting, credentialing, training, nondisclosure, and access requirements. The employee must be able to obtain and maintain any required Personal Identity Verification (PIV) credential and associated facility, system, and information access; comply with secure-facility restrictions; and properly safeguard Controlled Unclassified Information, personally identifiable information, sensitive personally identifiable information, and other protected information. Candidates must satisfy any citizenship, immigration-status, suitability, and access requirements applicable to the assigned facility, system, or information.

Contingency statement

This position is contingent upon contract award, funding, final staffing approval, successful completion of applicable suitability and credentialing requirements, and confirmation of the anticipated start date.
